Our client, a mid-sized law firm in Luxembourg, is currently looking for an Office Manager (M/W) to be the main contact person of the office and assist with legal tasks.

In this position, your main responsibilities will be the following:

  • You will welcome clients and set up meeting rooms
  • You will answer incoming phone calls, respond to emails in a timely manner and provide general administrative support (receiving and sorting daily mail and deliveries, filing etc.)
  • You will be in charge of all the office supplies
  • You will liaise with the suppliers and ensure the follow-up with contract renewals
  • You will act as business support, for example assist with the preparation of legal documents and presentations
  • You will be in charge of joiners and leavers information and logistics
  • You will also help with the monthly preparation of documents for the payroll
  • You will work in close relation to the Partners, organizing and carrying out all related office procédures


Profile:

  • You have a solid work experience as Office Manager, Executive Assistant or similar, ideally in the finance sector
  • You have good communication skills and are a self-motivated person
  • You are very organized and discreet
  • You know how to manage your workload and manage several tasks simultaneously
  • You have a positive attitude
  • You are fluent in French and English. An advanced level in German will be considered as a plus.
  • You are a proficient user of MS Office (Outlook, Word, PowerPoint, Excel)
