Our client is a well-known Trust company that provides a wide range of Corporate Services, Fiduciary Services and Fund Administration. As they are about to launch their activities in Luxembourg, we are currently looking for a Legal secretary (m/f), to provide a comprehensive and confidential secretarial service to a Partner and to ensure that the Partner is fully supported.


The Mission:
• Screen all incoming telephone calls, taking and relaying accurate messages where necessary. Where appropriate, arrange and set up conference and outgoing calls for the Partner
• Undertake audio, copy and, where appropriate, shorthand typing of correspondence, emails, internal memoranda and complex documents, and produce accurate final copy to the firm’s accepted standards
• Maintain the Partner’s diary and task list and ensure that he/she is prepared and available for meetings at the appointed time and appropriate room
• Ensure that all new client matters are accurately set up in the client accounting and database system
• Maintain and amend client records, contact names and ensure files are closed when the matter is concluded
• Make travel arrangements and pass information to accounts for their records and ensure recovery of the Partner’s expenses to ensure accurate billing
• Liaise with other professional organisations and in the course of this contact ensure the firm’s professional image is promoted in the best possible way
• Maintain online filing system, ensuring that filing is carried out on a regular basis, undertake photocopying, scanning and prepare and transmit faxes as necessary
• Assist with the online completion of timesheets for the Partner
• Preparation/drafting of simple legal documents and correspondence
• Assist with the preparation of fees and follow up of payments with clients


Your profile/requirements:
• 4-6 years' secretarial experience within a legal or financial services environment
• IT Literate across Microsoft Office suite
• Self-motivated, pro-active and highly professional, with ability to assume responsibility
• Fast and accurate typing skills with attention to detail - audio and copy
• Administrative and document management experience
• Superior organisational skills, with a disciplined approach to documentation
• Excellent interpersonal skills together with demonstrable ability to work well under pressure
